Hosting location is the first thing worth confirming directly, in writing, rather than assumed. Where is student and financial data physically stored, and does that location bring specific regulatory obligations with it? A school should ask this plainly of any vendor rather than accepting a general answer about "secure cloud infrastructure," which describes almost every provider on the market and tells a procurement team nothing distinctive.

A centralised school management information system fixes the core problem: one source of truth. When every school in the trust works in the same platform, attendance, admissions and reporting follow a shared structure. Trust leaders can see figures across all sites without emailing round for the latest workbook, and central teams stop rekeying the same data three times.

Certification is the second, more concrete checkpoint. ISO 27001 is the recognised international standard for information security management, and a vendor holding current certification has had its security controls independently audited against that standard rather than simply asserting they are secure. For any part of a system handling payment data, such as fee billing or canteen top-ups, PCI-DSS Level 1 compliance is the equivalent standard specifically for payment card handling, and it is worth asking whether that certification covers the billing module directly rather than being described only at the level of the parent company.

Data security is the second area to test. Schools in the Compass Education UK and Ireland hold sensitive records, so check where information is hosted, which certifications the provider holds and how access is controlled by role. A system that supports granular, role-based permissions protects records without slowing anyone down. Ask how data is backed up and how quickly it could be restored.

Parent communication is the next place a tagline becomes real. Families who receive timely, accurate updates, and who can pay, consent and respond in one app, stay closer to school life. A parent who is not chasing three logins is a parent more likely to see the message that matters. An MIS that keeps notices, payments and forms in a single account does quiet, useful work here every week.

Beyond hosting location and certification, a few further questions round out proper due diligence: how often is the system independently penetration-tested, what is the vendor's data breach notification process, and does the school retain the ability to export its full data set on request rather than being dependent on the vendor for access.
